Here you can find the list of affiliated hotels with contracted rates for the conference.
Reservation should be made personally by the participants directly contacting the hotels: no booking service provider should be used in order to be included in the list of conference attendees and get the contracted rates.
Reservation code for participants is “NIC 2018” and must be mentioned when booking the room.
Rooms will be available until the deadline below on “first come, first served” basis. Reservation will still be possible though after those dates, but availability of rooms will no longer be guaranteed.
Please note that daily shuttle buses will pick up people from these hotels only.

Travel information

Bus transfer is arranged from/to airports Rome Fiumicino (FCO) and Rome Ciampino (CIA). Furthermore, bus transfer will be available each day from and to the hotels indicated on this web site. Detailed information about shuttle buses (including timetable) were sent to alla participants who signed up for this service on registration form.

Here you can find some information on how to reach LNGS independently (e.g. if shuttle bus timetable doesn’t fit with participants’ travel plans).
The Gran Sasso National Laboratory (LNGS) is located inside the Gran Sasso-Laga National Park (Google map), about 120 kilometers north-east from Rome. Drivers can take highway A24 from Rome and take the exit Assergi: at the toll gate turn right and after 100 meters turn right again (via Giovanni Acitelli), you will find the laboratory entrance door on your left.
All people landing in Fiumicino or Ciampino can take a Gaspari direct bus from airports to L’Aquila (final bus stop Hotel Amiternum, which is by the way one of the affiliated hotels listed on this website). Gaspari routes timetable and fare information are available on company website. From there you can take a taxi to LNGS. Taxi cabs are normally available at Hotel Amiternum, if needed you can call local radio-taxi service +39 0862 25165.
Participants may also take TUA-ARPA buses from Rome (Tiburtina train station) to L’Aquila (timetable). First bus stop in L’Aquila is Hotel Amiternum (same as Gaspari bus above). Once there, either you can take a taxi to LNGS (as above) or you can get off at Collemaggio Terminal Bus (final bus stop) and take city bus M6 to Assergi (timetable).
Other bus options will be posted very soon.

Visas

Participants are invited to get in touch with their local travel agency and check for any visa requirements in order to enter Italy. Application for letters of invitation will be accepted by NIC XV Secretariat by March 31, 2018.
It is mandatory to register for the NIC XV conference before claiming letters of invitation.
Please note that prior to start visa process, the International Relations Office of LNGS will require the following information:

  • name and surname as written on your passport
  • scanned copy of your passport
  • name and address of your home institute
  • dates of your stay in Italy (also flight dates if possible)
  • place of stay (name of the hotel that you have reserved and written confirmation of reservation)

LNGS will be unable to issue the invitation letter if any of this information is not provided.

All visa related documents issued by LNGS cannot grant any financial support by the organizers.

Support

The organizing committee encourages the attendance of young physicists. A limited amount of support has been granted for undergraduate / graduate students without PhD status or young Post-docs upon request.

Due to the very large number of applications received, the support request program is closed.

Leisure and recreation

Here you can find some possible tours in Rome elaborated by the students from the Highschool Liceo Scientifico “L. Pasteur” of Rome in the framework of a training project carried out with the laboratory. At the same link you can also find a guide to restaurants, pubs and wine bars in L’Aquila area, which was prepared by students of the high school Liceo Scientifico “A. Bafile” of L’Aquila involved in another training project handled by LNGS.
LNGS is located inside the Gran Sasso-Laga National Park. More information, including tour itineraries, can be found on park website.
